Terms of Engagement, Pricing, Payment & Operating Policies
Terms of Engagement:
Our initial project consultations and pricing quotes are provided at no charge or obligation. When a client elects to engage our services, a clear and detailed description of the services and/or merchandise to be purchased will be promptly provided to the customer. This will usually consist of an invoice agreement forwarded by email. Once the client returns the completed agreement (usually by email or fax) and remits any required deposit, our firm is engaged and work on the project will begin according to the accepted terms.
We always determine our client's deadlines and provide firm commitments as to when a project will be completed, or merchandise delivered. If we cannot be reasonably certain that we can meet your deadline, we will tell you that "up-front", so that you can select another firm at your discretion. To ensure that projects are completed on-time, we reserve specific blocks of time on our design and production schedules.
Pricing:
Because we are a custom design firm, each of our projects is entirely unique. Our pricing quotes are therefore based on the specific requirements of each client and project. We provide formal quote proposals for client consideration so that any questions can be addressed in-advance, and always fully disclose all proposed costs and fees. When you receive a quote from MoteGraFX, the stated costs and fees are exactly what you can expect to pay for the services or products we agreed to provide. It's really just that simple.
Payment:
A fifty-percent (50%) deposit is normally required to commence design work or order merchandise. Payment in-full of any remaining balances is promptly due upon customer receipt of the final invoice and prior to delivery of any products or final services. For services involving website design or other electronic file mediums, the completed files will be published to the client’s server or otherwise delivered upon confirmation of final payment. Accepted Methods of Payment:
- Credit Cards: VISA and MasterCard;
- Company or cashier checks;
- Money orders;
- PayPal secure electronic payments.
Denied Transactions:
At the discretion of MoteGraFX, for each disallowed payment (such as returned checks or denied credit card transactions), the customer may incur a $25.00 fee in addition to any resulting charges imposed by financial institutions.
Taxation and Reseller Policies:
Mandatory state sales tax at the current official rate (normally for Arizona clients only) and/or shipping charges, if required, and any additional design or production tasks requested by the customer after project approval are not included in our initial project quotes. For the purchase of items intended for resale, we may require a Certificate of Resale form and/or Tax ID number.
Silkscreen & Embroidery Setup Charges:
There are normally setup fees for apparel production orders involving silkscreen or embroidery:
- For silkscreen projects, this is a per-screen (color) charge for equipment setup. Light inks on dark materials requiring multiple print passes may require additional fees.
- For embroidery, there are charges are for “digitizing” the artwork so that it can be correctly stitched by our embroidery machines. The per-project cost is determined by the “stitch count” of the design to be embroidered.
These are generally one-time-only charges, and further orders using the same design and size will usually not involve additional setup fees. In every case, we will fully disclose all setup charges in-advance, and make every reasonable effort to minimize such fees for our clients.
Copyright and Intellectual Property Policies:
All designs, artwork, digital layouts or other items created by MoteGraFX are the exclusive property of MoteGraFX until payment in-full has been confirmed. Once payment is finalized, the client assumes complete and exclusive ownership and all associated copyrights, unless otherwise agreed in-advance. In summary, if we provide a logo or other custom design work, you will enjoy full ownership rights once you have finalized payment according the agreed terms.
